ENTIRE AGREEMENT.  This Agreement contains the entire agreement between the parties and supersedes all prior agreements between the parties, whether written or oral.

TRAVEL, TRANSPORTATION, LODGING. The Cultural Experience will include up to six-day trips, and a driver (the “Driver”) will be transporting all participants in the Cultural Experience (collectively, the “Group”) together in a private vehicle for such trips.

TFTIO recommends that members of the Group rotate seats in shared vehicles. The Coach or their assistant will often sit in the front seat to assist the Driver. A second vehicle may be arranged if needed and your cooperation on rotation is requested.

Hotel daily pick-up times will be announced the evening before. Defined pick-up locations with departure excursion times will also be identified. You are asked to be considerate of others and arrive promptly for pickup. Arriving 20 minutes late or longer will trigger either a minimum €100 charge paid by the person triggering the late fee which will be paid directly to the driver, or you will need to arrange your ride back to your hotel.

A prearranged pick up and FCO airport to the hotel and drop off will be at specified times if the participant chooses to use this service and is included in the price. If flights are more than 30 minutes late on arrival, an alternative pick will be needed. The coach can help you arrange this at your expense, usually 50 to 350 euros, depending on the host city and location of the airport.

There is a strict limitation of one standard checked bag, one standard carry-on bag, and one small personal item per participant. Exceeding these limitations may result in additional risks, including the possibility that excess items will need to be carried on the individual's lap in the vehicle or may incur additional fees.

The agenda for the Cultural Experience and the composition of the Group will be determined by the Coach and may be modified by Coach at Coach’s sole discretion. Such modifications may include (but are not limited to) substituting members of the Group in advance of the Cultural Experience and making changes to the Group’s vehicle, meal reservations, activities, day trips, and other itinerary items. TFTIO is not obligated to alter Coach’s set agenda to accommodate any changes requested by any member of the Group.

To the extent You request any add-on services, TFTIO may accept or decline to provide any such requested services at Coach’s sole, absolute discretion. To the extent any add-on services are performed, You will be responsible for all costs and fees identified by Coach concerning such services.

You will not be entitled to any partial refund concerning any activities in which you do not participate. All fees related to the Cultural Experience are due at the time of booking.

CANCELLATION POLICY. Once a participant states in writing (via text, email, or letter) that they will not attend the trip, their position is immediately forfeited and cannot be reclaimed. Written confirmation for cancellations is required. Upon acceptance of the cancellation, participants are released from future payment obligations but will not receive a refund for any payments already made.

COACH’S AVAILABILITY; COMMUNICATIONS.  Throughout the course of the Cultural Experience, Coach will be unavailable from the hours of 8:00 p.m. to 11:00 a.m. local time, unless there are scheduled Cultural Experience activities during such hours. The coach will be reasonably available for general questions during the Group’s day trips and at the Group’s shared mealtimes (i.e., lunch and dinner). The coach will have two free days within the 10 days and can be reachable on the next designated meeting day.

Coach will not be your primary point of contact for emergencies or miscellaneous needs. As discussed below, all emergencies should be directed toward Hotel staff or local authorities.

All text communications during the Cultural Experience will be conducted via WhatsApp. You must have WhatsApp downloaded to your phone prior to and throughout the course of the Cultural Experience. You must allow WhatsApp to provide notifications so that You are aware that the Coach or other members of the Group are contacting you. You must have an international cellular data plan active on your phone.

You are responsible for reading all email, Facebook and WhatsApp correspondence related to the Cultural Experience thoroughly. You must accept the invitation to the pre-trip coaching WhatsApp group and actively follow along with the dialogue.

DINING. Note that 1:00 p.m. is generally the start time for lunch, and restaurants often shut down by 3:30 pm. If you do not arrive at a restaurant by 2:30 p.m., you are at risk of not being served lunch.

8:00 pm. is generally the earliest time for dinner in your host country; however, Coach will set reservations for Group dinners at 7:30 pm. when permitted, usually with a 10-minute or less walk to restaurants.

Sometimes a “COPERTA” charge per person at restaurants for lunch and dinner. It will be disclosed on the menu, and Coach will inform you when she sees it. Whether you order or not, you are expected to pay the usual €2 to €4. It covers paper placemats, bread, glasses, and silverware used. Tipping at pre-scheduled group meals is included in the experience.

All group meals should be paid for with CASH. Food bills will not be itemized; the coach will attempt to total each person’s orders, but you are asked to use a small notepad to record your orders.

Depending on the restaurant, ordering extra sauce, or splitting or sharing meals, can trigger an unexpected surcharge. Italian society is based on paying for all consumptions and modifications.

Tagliere can be an individual or shared appetizer and bottles or liters before lunch and dinner. Your Coach will ask for a hand count of who wants to participate in a shared tagliere, then ask the waiter for the specific cost. Whoever participates will equally share in that cost adding it to your notepad.

CASH; THEFT. It is required that you replenish your cash each day to carry between €125 to €150 daily. Ideally, it is best to get smaller bills at an ATM or bank (€5s, €10s, & €20s are best). Note €100s are impossible to break and €50’s can be difficult to break for small orders.

Neither Company nor Coach will be responsible for any lost or stolen cash or personal items during the Cultural Experience. It is strictly prohibited to borrow cash from any other participant or coach. Before arriving, it is suggested that you order from your bank 500 Euros to carry with you, preferably in 20’s and 50’s.

EMERGENCIES. In the event of a medical or other emergency, You will contact Hotel staff or local authorities to alert them of the emergency. If You contact Hotel staff, they will inform the appropriate authorities of the emergency and arrange for any required transportation (ambulance or taxi). If the emergency takes place after 9:00 p.m., dial the hotel's front desk after hours emergency number and Hotel staff will pick you up. If the emergency takes place outside of your host city (e.g., on a day trip), You should call local authorities.

Your hotel can arrange a doctor’s visit for €50 to €75 and will assist with translations.

Neither Company nor Coach is responsible for addressing any emergencies (whether medical or otherwise), and Coach should not be your primary point of contact in the event of an emergency.

If You are admitted to a hospital at any time, You will be responsible for arranging your transportation back to the Hotel. The coach has suggestions on how to approach emergencies on day trips.

COMMON COURTESY AND OBSERVANCE OF LOCAL CUSTOMS. You agree that You will not engage in excessive alcohol consumption or engage in any behavior that disrupts the positive dynamics of the Group.

Avoidance of Controversial Topics: Discussions on politics, religion, or any highly controversial subjects are prohibited to maintain group harmony.

Sometimes a house wine can be ordered by the  ¼, ½, or full liter which is very affordable. Other times it is by the bottle or glass. The Coach will assist you as “sticker shock” for a bottle can occur if you are not careful. You agree that you will engage in proper phone etiquette (i.e., if You need to make a phone call at lunch or dinner, you will remove yourself from the table, You will avoid calls when in a vehicle with the Group, etc.).

Feel free to greet locals with a “Good morning or good day.” Many will respond but some will not as it is the historical way they have been taught.  In order to use a private business’s bathroom, it is expected that You will purchase an item from the business. Many bathrooms will not have toilet seats and the Coach can explain why.

You agree that you will use your best efforts to create an “attitude of gratitude” to create a positive, supporting environment for the Group, and you will not engage in any conduct that undermines the authority of Coach or disrupts or otherwise negatively impacts the experience of other Members of the Group or the local host country.

By purchasing this cultural experience, participants agree to these terms and conditions.
